The Lake Reynovia Homeowner’s Association board is a group of volunteers who manage the neighborhood’s shared amenities. Any homeowner can volunteer to join the board, and as a neighborhood, we vote each year at our annual meeting to bring in a new set of board members. 

 

What do they do?

The board follows the existing governing documents (created when the neighborhood was first established) and work with our property management company, Cedar Management Group. In that capacity, they ensure that our shared-property maintenance is taken care of in both the short- and long-term.

Our neighborhood has regular “reserve studies,” where an outside group comes in to evaluate our amenities and provide updates on their state of repair and when we should plan for repairs/upgrades/replacements, along with cost estimates. We also have rotating seasonal concerns related to things like pool and lake management, landscaping/grounds, and the clubhouse/tennis courts/playgrounds. With all of these, the board works with the management company to ensure that all tasks are executed, either through contractors or additional volunteers. 

Each month, the board meets to review ongoing projects, coordinate with the neighborhood committees on their work, and discuss other neighborhood concerns.

 

What should I expect during my term of service on the board?

Each year, we need at least 3 board members to serve.* Ideally, a board has 4-5 members. When a new board forms at each annual meeting, they then decide among themselves who will take on which of the following roles:

  • President. The President shall preside at all meetings of the Board of Directors; shall see that orders and resolutions of the Board are carried out; shall sign all leases, mortgages, deeds, and other written instruments, and shall sign all promissory notes.
  • Vice-President. The Vice-President shall act in the place and stead of the President in the event of his or her absence, inability, or refusal to act, and shall exercise and discharge such other duties as may be required of him or her by the Board.
  • Secretary. The Secretary shall record the votes and keep the minutes of all meetings and proceedings of the Board and of the Members; serve notice of meetings of the Board and of the Members; keep appropriate current records showing the Members of the Association together with their addresses; and shall perform such duties as required by the Board. 
  • Treasurer. The Treasurer shall be empowered to sign checks, shall receive and deposit in appropriate bank accounts all monies of the Association and shall disburse such funds as directed by the resolution of the Board of Directors; keep proper books of account; cause an annual audit of the Association books to be made by a public accountant at the completion of each fiscal year; and shall prepare an annual budget and a statement of income and expenditures to be presented to the membership at its regular Annual  Meeting and deliver a copy of each to the Members. The Treasurer may employ, with approval of the Board, a qualified public accountant or equivalent agency to assist in carrying out any or all such functions.  

*Should there not be enough volunteers for the board, the neighborhood is legally obliged to hire an on-sight manager, at the collective homeowners’ expense.

 

What support is available for board members?

Our dedicated liaison from Cedar Management Company is available to consult on what we’re legally required to do, how Lake Reynovia has handled matters in years’ past, and how other neighborhoods are handling things. Cedar can also help with identifying potential contractors and explaining documents, among other common needs, and they offer optional training support for those who want it.
